FAQ's Training as an Administrative Assistant
To become an administrative assistant*r, you must meet some requirements:
- You have at least the qualifying diploma of a secondary school or middle school or acquire it until the start of recruitment.
- You successfully participate in the aptitude diagnostic selection test of the city of Erlangen in September of the year preceding the year of recruitment.
In addition, you should be open-minded, have an open and communicative nature and like to deal with people. A quick grasp as well as flexibility at work are a matter of course for you. You take responsibility for your tasks and are committed to them. You are not a lone wolf - rather, you enjoy working in a team.
Administrative assistant is a recognized profession according to the Vocational Training Act (BBiG). The dual vocational training at the City of Erlangen lasts 3 years. Theoretical training sections at the Bavarian School of Administration and at the vocational school alternate with practical training sections in the various municipal departments. Training begins in each case on September 1.
Theoretical training
The specialized theoretical training takes place in the form of block instruction at the State Vocational School II, the Ludwig Erhard School in Fürth (6 multi-week vocational school blocks) and as part of specialized courses at the Bavarian School of Administration in the local course Nuremberg (6 multi-week specialized courses).
At the Ludwig Erhard School come, among other things. the following subjects are taught:
- Administrative action
- Personnel management
- Accounting
- Administrative business management
- Text processing
- Social studies
The main subjects taught at the Bavarian School of Administration are:
- Law (e.g. Municipal law, administrative law, security law, private law),
- Economics and finance (eg administrative business administration, budget, cash and accounting)
- Administration (eg administrative organization).
A total of 17 exams are to be filed at the Bavarian School of Administration, which are scheduled at the end of each specialized course. These serve, as well as the intermediate examination, which takes place in the middle of the second year of training, as a performance indicator for the trainees. In addition, at the end of the third year of training, the final examination must be taken. It consists of a written and an oral part. The results achieved here are taken into account as part of the overall examination result.
At the Ludwig Erhard School, school assignments and extemporals are written and oral quizzes are conducted.

Practical training
The practical training takes place in various departments of the city of Erlangen.
We consider you already during the training as a full-fledged employee*, which means that you do not sit in the basement of the city hall and may theoretically process cases, but you are directly active on the front line. Through concrete and practical activities, you will get to know the tasks and typical work processes of an administrative assistant and will be systematically familiarized with the contents of the profession.
You will become familiar with the interrelationships of economic, social and political life, apply legal regulations on a case-by-case basis, prepare notices and often have direct contact with the citizens of our city. As an employee of the City of Erlangen, you will ensure that our customers receive comprehensive advice through a service-oriented approach. As a clerk, you will process applications and inquiries, make the necessary administrative decisions, but also take care of organizational activities.
You can expect a wide range of challenging and varied tasks: From the issuance of an identity card to the granting of unemployment benefit II to the issuance of a restaurant permit and the issuance of a driver's license.
During your training, you will gain a broad insight into the tasks of our city administration.
In addition, you will receive feedback on strengths and weaknesses so that you can actively address your personal development.
The goal is always to prepare you for your later employment after the training.
Already during the training you will receive a monthly training allowance
- in the 1st year in the amount of 1068.26 €
- in the 2nd year in the amount of 1118.20 €
- in the 3rd year in the amount of 1164.02 €
plus capital-forming benefits and a special payment (Christmas bonus).
The training allowance is based on the collective agreement for trainees in the public service (TVAöD).
If you successfully pass the final examination, you will receive a graduation bonus of € 400.
After the training, the remuneration is based on the collective agreement for the public service (TVöD). The grouping and thus also the remuneration takes place according to the activity, which is taken over. The performance principle applies. The law therefore provides for certain grouping criteria. If an employee holds a position and fulfills all job characteristics, the classification is made according to the previously determined job evaluation.
The starting salary is currently € 2,576.29 in the lowest pay group EG 05, level 1.
In addition, you will also receive capital-forming benefits and a special payment (Christmas bonus). In addition, you can expect regular salary increases and performance-related steps.

.In the context of the training, all fees are borne by the city of Erlangen. Likewise, there is a free provision of the training materials that are required for vocational training and to take the exam.
In addition, you will receive a subsidy of € 50 for learning materials in each training year.
All the social benefits that the Erlangen city administration offers its employees* naturally also apply to our junior staff.
Whoever regularly travels to work by public transport receives a travel allowance.
For trips by public transport, it is possible to purchase the "365-day ticket" during training, which is also subsidized by the city of Erlangen.
As part of the company health management, regular sports courses and other health-promoting offers are held in which you can participate.
The training numbers in the administrative area are based on the anticipated personnel requirements of the City of Erlangen.
With appropriate suitability, ability and professional performance, the city of Erlangen can thus offer you a takeover guarantee for subsequent employment.
With the successful completion of the training you are entitled to use the professional title "Verwaltungsfachangestellte*r".
You will be qualified as a "generalist*in" during your training. This means that during your training you will be prepared for the diverse tasks of our city administration in the context of assignments in the various departments, with the result that you can work almost anywhere after successfully completing your training; only then will a certain specialization take place with the assigned position. As part of your personal development, you can then also apply for internally advertised positions and change your career within the city administration (job rotation). Thus, a wide variety of fields of application await you later on, allowing for job changes and thus employment depending on your interests and skills.

At the City of Erlangen, training is considered the first step in staff development.
After completing the training, employees have access to a wide range of career advancement and development opportunities. For further professional qualification, among other things, a versatile and high-quality advanced training and continuing education program is offered.
In addition, particularly qualified and motivated administrative employees can train to become administrative specialists and advance to the higher administrative service. To do this, they complete a part-time advanced training course, the so-called Beschäftigtenlehrgang II (Employee Training Course II). In the context of this further training measure all fees are taken over by the city administration Erlangen as well as a release from the work under continuation of the remuneration for the time of the course and examination-conditioned absence granted.
