For this purpose, we use the web analytics tool Matomo Analytics. This tool sets cookies—small text files—which are stored on the device you are using for a maximum of two years. The data collected by the cookies, such as the length of time spent on the website or search terms entered, is processed by us based on your consent. This data allows us to draw conclusions about technical parameters (e.g., the operating system you use or the screen resolution of the device you’re using) as well as about the use of our website. Map Applications
Our website uses embedded and linked map applications to clearly convey location-based information. Erlangen Chatbot
An AI chatbot is integrated into the erlangen.de website to answer questions related to the city of Erlangen. The chatbot answers questions in natural language, regardless of location or time, using artificial intelligence. This is achieved through text analysis and machine learning.
The questions (information) entered are automatically processed to provide information about services, locations, or topics on erlangen.de in a chat format.
No personal data is required to use the chatbot. For technical security reasons, particularly to defend against attempted attacks on our web server, the IP address of the requesting computer is stored (see above, Logging). However, there is no linking or merging of IP addresses with chat messages, so in principle, no personal data is collected through the use of the chatbot.
To improve functionality (for example, the timeliness and accuracy of the information provided) and user-friendliness, anonymized data (such as query frequencies, chat histories, etc.) is analyzed, and the information in the source files is reviewed. However, this process does not allow for any identification of individuals.
All data entered is forwarded to our service provider, the Microsoft Azure OpenAI cloud computing platform, for processing.
Please do not enter any personal data about yourself or others, or any confidential information, into the chatbot’s chat history.
If, contrary to the instructions on the landing page, you have entered personal data into the chatbot, you can request its deletion on a case-by-case basis by contacting us directly at webtechnik@stadt.erlangen.de. Additionally, a specific description of the data is required for processing so that it can be identified in the data storage system for subsequent deletion. Since the chatbot automatically processes user input and does not request any personal data, only the user can know whether and what personal data was collected, and must provide this information when contacting us so that it can be used to identify the data in question.

Social Media and Social Plugins
As an additional service, our website offers so-called social buttons that enable interaction with social media platforms. The City of Erlangen uses social networks to provide additional services and to facilitate a dialogue for the exchange of opinions and experiences.
We do not use social plugins, such as the Facebook “Like” button. The social buttons on the website function as external links, so no information is transmitted to a social media provider unless you click on a button (two-click process). Only when you access the links does your browser, under certain circumstances, establish a direct connection to the servers of the respective services. This results in information about your visit to the website being indirectly transmitted (via a referrer) to the social media provider. Clicking the button redirects you to the website of the respective provider. In doing so, the URL of the current page is passed as a parameter. As a user, you can decide for yourself whether to consent to the activation of these features and the transfer of data. Videos from the external video platform YouTube are embedded on our website. By default, only deactivated videos from the YouTube channel are embedded, which do not establish an automated connection to YouTube’s servers. If you subscribe to a newsletter, your information will be stored so that it can be used to process and respond to your request. Starting in March 2019, we will use the services of CleverReach GmbH & Co. KG, Mühlenstraße 43, 26180 Rastede, to send newsletters. CleverReach is a service that enables the organization and analysis of newsletter distribution. The data you provide to subscribe to the newsletter (e.g., email address) is stored on CleverReach’s servers in Germany or Ireland. Under a data processing agreement, CleverReach processes your personal data on our behalf and in accordance with our instructions. Electronic Mail (Email)
Information that you send to us unencrypted via electronic mail (email) may potentially be read by third parties during transmission. We are generally unable to verify your identity and do not know who is behind an email address. Therefore, legally secure communication via standard email cannot be guaranteed. Like many email providers, we use filters to block unsolicited advertising (“spam filters”), which in rare cases may mistakenly classify normal emails as unsolicited advertising and delete them automatically. We automatically delete any emails containing malicious programs (“viruses”) without exception.
